# Budgets, status and hours that agree before month-end

> Status updates, risks, budgets and cost rates sit on the same records as the projects and the approved hours. The PMO and finance read the figures the teams work with, so there is nothing left to reconcile.

## How finance and the PMO keep projects on budget in Akollo

Delivery, effort and money are recorded once, where the work happens, and read by everyone who needs them.

1. **Give every project a status and a risk register** (Projects) — Leads publish updates as On track, At risk or Off track. An update can be corrected once but never quietly rewritten, and risks are scored by probability and impact.
2. **Set the budget in hours, cost or revenue** (Budgets) — Per project, department or cost centre, with monthly lines. A change of more than ten percent against the approved total needs a second person.
3. **Price the hours with approved rates** (Rates) — Cost rates count as salary information and have their own permission. Rate cards pick the most specific billing line, from employee up to organisation.
4. **Count approved hours, not estimates** (Time tracking) — Time is credited to the task, approved by the manager and locked with the period, so project cost follows the work without a spreadsheet.
5. **Close the month and keep it closed** (Periods) — Lock, check and close each ledger's month. Reopening a closed month needs one person to ask and another to approve.

## The views finance and the PMO open every day

They all read the same records, so an approved timesheet shows up in the budget and in the margin the same day.

### Finance overview

Budget usage, open alerts, this month's period and the expenses waiting for approval, above a budget versus actual table.

- Budget usage and open alerts
- This month's period at a glance
- Expense approvals waiting

### Profitability

Cost, expenses, revenue and margin per month, for projects or departments, with the cost lines and a forecast for each row.

- Projects or departments
- Hours without a rate flagged, not zeroed
- Forecast per row

### Project timeline

Every item scheduled in working days, with dependencies across projects, the critical path and a line for today.

- Critical path and float
- Every date change previewed first
- Conflicts listed by item

### Risk register

Each project's risks, highest score first, with owner and due date, and every revision kept with its reason.

- Score from probability and impact
- Full history of changes
- Filter by status

## What you can report without a spreadsheet

Each figure is worked out from records the teams already keep, under the permissions of the person reading it.

- **Budget against actual** — Spent and remaining per budget, in hours, cost or revenue, with the largest variances charted at the top. (Finance → Budgets)
- **Margin per project** — Approved hours times cost rate, plus expenses, set against revenue month by month for each project or department. (Finance → Profitability)
- **Planned against actual time** — Planned and logged hours, the estimate at completion and milestones for the projects you pick. (Project health and budget report)
- **Portfolio health** — The latest health of each project and its highest-scoring risks. Leads are reminded when a project has had no update for 14 days. (Project status and risks)

## Let the assistant prepare the status pack

Akollo AI reads projects, risks and hours within your permissions. It never sets an amount, a rate or an approval.

- “What is at risk in the ERP rollout?” — Two risks score 15 or more and one milestone is slipping. Both risks are tied to the data migration. Here are the sources.
- “Draft this week's status update for the client portal.” — Draft ready: At risk, because the integration work is a week late and one risk is still open. Review it before you publish?
- “Summarise planned against actual hours for this quarter's projects.” — Three of nine projects are over their planned hours, most of it in testing. Shall I put the figures in a table for the review?

Amounts, rates, budgets, approvals and periods follow fixed rules and are decided by people. The assistant only reads what the person asking could open.

## Questions finance and PMO teams ask

### Does Akollo replace our accounting system?

No. Your accounting system stays the book of record. Akollo keeps project budgets, cost, billing and periods, and hands the figures over through accounting exports.

### Can we bill clients from the hours?

Yes. Billing rates come from rate cards per customer, project, role, task type or employee, and Billing holds invoice drafts, credit notes and billing plans.

### Who can see employee cost rates?

Only people with the cost-rate permission. Owners and administrators do not get it automatically, and a new rate is approved by someone other than the person who proposed it.

### Can each team keep Scrum or Kanban?

Yes. Each project has its own boards, columns and estimation, while status updates, risks, time and budgets work the same way for every project.

### Can our BI tool read the figures?

Yes. Akollo publishes reporting datasets, such as approved hours per person and day, that Power BI, Tableau or Looker Studio read with a read-only key or over SQL.
