# Know who is in, who is away and who has room this week

> Employee records, leave, skills and onboarding sit next to projects and timesheets. Managers plan with the same facts HR keeps, and sensitive fields stay with the people allowed to see them.

## From a new starter's first day to month-end in Akollo

One record follows each person, from the start date to the approved timesheet, and managers plan with it too.

1. **Keep one record per person** (People) — Job, unit, manager and custom fields in one profile, with earlier versions kept and an org chart for any date you pick.
2. **Have new starters ready on day one** (Onboarding) — Checklist templates open on the start date and hand tasks to HR, the manager, IT and the new person, each with a due date.
3. **Count leave the way your calendar does** (Time off) — Half days, public holidays and holiday eves are counted by rule. Managers approve or reject in Leave approvals and the balance updates.
4. **Let managers plan around real availability** (Resource planning) — Approved leave comes off capacity, so the team view shows who is away and who has room before any work is assigned.
5. **Close the month with approved time** (Time tracking) — Managers approve timesheets, overtime and time entries; HR exports approved time and leave for your payroll provider.

## The screens HR and managers open every day

Each one reads the same records, so an approved leave request shows up in the capacity view straight away.

### People directory

Everyone in the organisation, searchable by name and filtered by status, with a headcount for each status at the top.

- Pre-hire, active, on leave, terminated
- Org chart as of any date
- Custom profile fields from HR

### Time off request

Leave type, dates and half days. Before it is sent, the draft shows which days count and the balance on the start date.

- Weekends and holidays left out
- Projected balance per leave type
- Withdraw while it waits

### Onboarding tasks

Every open checklist task for its owner, ordered by due date, with progress shown on the new starter's page.

- Templates with owners and due days
- Opens on the start date
- Mark done from the list

### Team capacity

Planned work against available time for a team and each person in it, week by week, with approved leave already taken off.

- Team total and load per person
- By week or by day
- A note when leave still waits for approval

## What you can see without asking around

These come from the records HR and managers already keep, not from a separate spreadsheet or survey.

- **Leave balances and usage** — Days left, used, planned and pending per person and leave type, with every grant, adjustment and expiry in the ledger. (People → Time off)
- **Onboarding progress** — Which new starters still have required tasks open, who owns them and which are past their due date. (People → Onboarding)
- **Team availability** — Available and planned hours per team and week. Unknown values are shown separately, never counted as zero. (Team capacity report)
- **Approved time by period** — Payable time, overtime and approved entries per person for the period, ready to export as CSV or Excel. (Time reports)

## Let the assistant answer the availability questions

Akollo AI reads leave, capacity and skills within the permissions of the person asking, and never sees why someone took leave.

- “Who on the design team is free next week?” — Lena has 22 free hours and Jonas has 14. Murat is on leave from Wednesday. Shall I show the hours day by day?
- “Who could take the client portal onboarding work?” — Three people fit on skill and availability: Elif, Jonas and Deniz. Elif is the closest match and has room in June. Assign her?
- “Which leave requests and timesheets are still waiting for a decision this month?” — Four leave requests and six timesheets are open, most of them in the support team. I can list them by approver.

Leave shows only as "on leave", never with its type or reason. Pay is never used, and a skill level changes only when a manager accepts it.

## Questions HR teams ask

### Does Akollo know Turkish public and religious holidays?

Yes. HR adds the Turkish national calendar or a local one and confirms each year; next year's calendar opens as a draft on 1 November. On the eve of a religious holiday only the morning counts as leave.

### Can managers approve leave in Akollo?

Yes. Requests and cancellations land in Leave approvals. Approved days are booked against the balance and the employee is told. Nobody can approve their own request.

### Who can see national ID numbers and birth dates?

Only people with the sensitive-data permission, which nobody gets automatically, not even owners and administrators. For everyone else the fields are left out of the page. If your policy asks for it, employee data can stay on your own servers.

### Does Akollo run payroll?

No. Akollo prepares approved time and leave, and your payroll provider turns them into pay. The approved figures can be exported as CSV or Excel.

### Can we keep people's skills up to date?

Yes. Everyone has a skills page. If you switch on skill signals, Akollo suggests raising a skill by one level based on finished work; the person can object and only a manager can accept. Skill signals are off until an administrator turns them on.

We will set up a demo with your leave types, your holiday calendar and one of your onboarding checklists, and walk you through it on a call.
