## How operations teams keep work moving in Akollo

Routine work, requests and initiatives sit in the same place, so you see all of it before you say yes to more.

1. **Write the process down once** (Templates) — Turn a month-end close, an onboarding or a site audit into a template with tasks, owners and checklists.
2. **Let the routine create itself** (Recurring items) — A rule creates the work every week, month or on the day you choose, with its owner. Skip or move a date when needed.
3. **Take requests through one door** (Request forms) — Other teams ask through a form with the fields you need. Each request lands in triage, where you accept, decline or snooze it.
4. **Make the important steps checkable** (Workflows and approvals) — A status can require a done checklist or an approval before it moves, and every change is kept in the item's history.
5. **Report on initiatives without chasing** (Goals and status) — Owners publish a short status with a health. If a project goes 14 days without one, its lead gets a reminder.

## The views operations teams open every day

They all read the same items, so a request accepted in triage is already on the board and in the report.

### Request form

One form per kind of request, with the fields you decide. Requests land in triage with all the details instead of in a chat thread.

- Fields you choose
- Accept, decline or mark duplicates
- The requester sees the status

### Recurring work

The checks and reports that come back every week or month, created from templates with owners and due dates.

- Daily, weekly or monthly rules
- Preview of the next dates
- Pause, skip or move a date

### Initiative timeline

Cross-team initiatives on one time axis, with dependencies between projects, milestones and a line for today.

- Dependencies across teams
- Milestones that warn when slipping
- Conflicts listed by name

### Goals and health

The organisation's goals with the progress and health of the projects linked to them, and the latest status updates.

- Progress by value or by items
- On track, at risk, off track
- Sub-goals per team

## What you can finally measure

Operations work is mostly invisible until something is late. These come from the records the team already keeps.

- **Routine against project work** — How many hours go to recurring processes and how many to improvement projects, by team and by month. (Time reports)
- **Health of every initiative** — Progress and the latest health of each initiative, rolled up to the goal it serves, with the status text behind it. (Goals)
- **Approvals waiting** — Which changes are waiting for a decision, for how long, and which are already overdue. (My work · Approvals)
- **Team load by week** — Who is booked with routine work, who has room for the next initiative and who is past their hours. (Resource planning)

## Hand the follow-up to the assistant

Akollo AI reads your projects, goals and team calendar, and asks before it changes anything.

- “Draft a project plan for moving the Ankara warehouse in March.” — Here is a plan with 5 phases and 31 tasks, with dependencies and estimate ranges. Owners are suggested by who is free in March. Create it?
- “What is at risk in the ERP rollout?” — Two data migration tasks are late and block user training. The milestone on 14 November is slipping. Sources are linked below.
- “Who could take over the supplier audits while Deniz is on leave?” — Selin Arslan has room on those weeks and has done two audits before. Shall I prepare the reassignment for you to confirm?

Run the assistant on our cloud, on your own model or switch it off. It only reads what the person asking is allowed to see.

## Questions operations teams ask

### Can Akollo create our recurring tasks on its own?

Yes. A recurring rule creates an item from a template every day, week, month or on a custom schedule, with its owner. You see the next dates in advance and can skip, move or pause them.

### Can we automate routine steps?

Today you set rules through workflows: which moves are allowed, what evidence a move needs and who has to approve it, plus reminders for due and overdue work. Visual automation flows are planned.

### Can employees ask us for help without email?

Yes. Employees pick what they need from a catalogue in the request portal and fill in its form. Each request goes to the queue that handles it, and the employee follows its status.

### We plan initiatives in Smartsheet and track tasks elsewhere. Can Akollo hold both?

Yes. Initiatives, their dependencies and the day-to-day tasks live in the same projects, with goals on top. Status and health come from the work itself, not from a separate sheet.

### Can Akollo run on our own servers?

Yes. Akollo runs in our cloud, in your own cloud account or on your own servers. You choose where your data lives.
