# Know who is free before you promise the date

> Planned work against each person's available hours, with approved leave already taken off and skills on every profile. When someone is overbooked, you see it this week, not at the deadline.

## How teams plan capacity in Akollo

Skills, leave, planned work and assignments read the same records, so the plan reflects the team you really have this week.

1. **Keep skills on every profile** (People) — Each person has a skill profile with levels, marked as validated or certified. Optional skill signals suggest updates from finished work; a manager accepts them.
2. **Take leave off capacity** (People) — Approved leave comes off available hours. Leave still waiting for approval is flagged on the page, so nobody plans around a guess.
3. **Compare planned work with capacity** (Resource planning) — Planned time as bars, available time as a line, by week or by day. Load per person shows who carries the week and who has room.
4. **Staff the work with suggestions** (AI assistant) — Ask who should take an item and get the best fits by skill, availability, project familiarity and workload. Nothing is assigned until a manager presses Assign.
5. **Try the change before you make it** (Scenarios) — Move dates or people in a scenario and see the effect, without touching the live plan. Apply it when it works.

## The views resource managers keep open

Each one reads the same people, leave and planned work, so a change in one shows up in the others.

### Team capacity

A team's planned time against its available time, week by week or day by day for up to two weeks.

- Planned bars, available line
- Note when leave is still pending
- Add a single person to the view

### Load per person

Every member's planned load, week by week, so the overbooked and the underused stand out at a glance.

- One row per person
- Same figures as the chart
- By week or by day

### Staffing suggestions

For each work item, up to three best-fitting people from your teams and one growth pick, with the reasons beside each name.

- Fit on skill and availability
- Rule breakers never offered
- Reason recorded for other picks

### Scenarios

A copy of the project plan where you move dates or people and see what happens to the schedule first.

- Live plan stays untouched
- Draft, applied or discarded
- AI can propose alternatives

## What you can see before you commit

Capacity questions usually get answered in a meeting. In Akollo they come from the people, leave and plans the team already keeps.

- **Planned against available hours** — For each team and week, how much work is planned and how many hours people really have once approved leave is taken off. (Resource planning)
- **Load per person** — Each member's planned load week by week, so overbooking shows up while there is still time to move work. (Resource planning)
- **Capacity across teams** — Weekly available and planned time for several teams over any period. Unknown values are shown apart, never counted as zero. (Team capacity report)
- **Who can take the work** — Whether people are eligible for an item and why not: a missing skill, a level too low, an expiring certificate or no capacity. (Staffing suggestions)

## Ask who is free, get a staffing plan back

Akollo AI answers with the same facts the capacity pages show. It proposes; a manager decides.

- “Who on my team is free next week?” — Murat Öz has about 16 free hours and Deniz Kaya about 9. Lena Brandt is fully planned, and Tom Weber is on leave Thursday and Friday.
- “Who should take the payment API integration?” — Murat Öz fits best on skill and availability, then Lena Brandt and Ayşe Demir. Growth pick: Tom Weber, who meets the rules with less experience. Assign Murat?
- “Staff these six sprint items without overloading anyone.” — I proposed one person per item, nobody past their free hours. One item stays unassigned: nobody free has the required level. Review and assign?

Pay is never used to rank people, and leave shows only as "on leave". The assistant sees only the people the person asking may see.

## Questions about resource planning

### Does Akollo rank people by productivity?

No. Capacity compares planned work with available hours, and staffing suggestions rank fit for one piece of work. There is no league table of people, and pay is never used.

### How does leave affect capacity?

Approved leave comes off available hours, counted in half days with weekends and public holidays left out. Leave that is still waiting for approval is not taken off yet, and the page says so.

### Does the assistant assign people by itself?

No. It proposes, and nothing is assigned until a manager presses Assign. If the manager picks someone other than the first suggestion, Akollo asks for a reason and records it.

### Where do the skills come from?

From each person's skill profile, with levels and whether a skill is validated or certified. If you switch on skill signals, Akollo suggests raising a level from finished work; the person can object and only a manager can accept.

### Can we see capacity day by day?

Yes, for periods of up to two weeks. For longer periods, look week by week, or use the Team capacity report to compare several teams.
