Time tracking & timesheets

Hours you can trust, and timesheets approved on time

A timer for the work you choose, a desktop agent for the time you forget, and a timesheet your manager approves from one queue. The hours land on the project they belong to, not in a separate tool.

From the first timer to an approved period

People record time while they work, fix the gaps themselves and submit once. Managers approve, and payroll and finance read the same figures.

  1. Time tracking

Pick the task and start the clock

Choose the task for your computer or start the timer on it. Switching tasks takes one click, so the hours follow the work through the day.

  2. Desktop agent

Let the agent count what you forget

The desktop agent measures working time under a recording policy your administrators publish, and only after each person has read and acknowledged the notice.

  3. Time entries

Add the time the computer cannot see

Meetings, site visits and work away from the desk go in as entries with a reason. With Zoom connected, hosted meetings are proposed as entries for you.

  4. Timesheet

Fix the gaps before you submit

Missing or uncredited days show up as exceptions. Resolve them with an entry, ask for a correction or explain them, then submit the period.

  5. Approvals

    Approve, lock and report

Managers approve timesheets, entries and overtime in one queue. Approved periods are locked, and the hours flow into project cost and exports.

The screens people and managers use every week

Each one reads the same record of time, so the figure on My day is the figure in the approval queue and the export.

  • My day

Today's counted, worked and payable time, a seven-day trend, the timer and the task running on your computer.

    • Timer with start, pause and switch
    • Entries still waiting for approval
    • Open exceptions for the day
  • Weekly timesheet

One week in a daily, weekly or calendar view, with the period bar and its Submit button above it.

    • Payable time for each day
    • Week totals in a side panel
    • Monthly, weekly or twice-monthly periods
  • Add entry

A short form for a meeting, a manual entry or work away from the computer, sent to your manager for approval.

    • Start, end, task and reason
    • Overlaps with measured time are refused
    • Suggested draft from your own records
  • Time approvals

Everything in a manager's scope that waits for a decision, with the measured time next to what was asked for.

    • Tabs for timesheets, entries and overtime
    • Reject with a note that goes back
    • Nobody approves their own time

Let the assistant chase the missing hours

Akollo AI reads your own records and prepares the change. You confirm it, and it never touches a total or an approval.

Akollo AI

Did I miss time anywhere this week?

Tuesday and Thursday are below your working hours, by about 2 hours each. You had the Website relaunch open both days. Shall I draft entries for you to check?

Ask Akollo AI

Try asking

AI never adds to a total, a payable figure or a pay input, and it never approves anything. It reads only what the person asking may see.

What your hours can tell you

Once time is recorded where the work happens, these answers come from the record itself, not from a spreadsheet someone rebuilt.

  • Hours by project and task

Time reports grouped by day, task, category or person, within the scope each manager is allowed to see.

    Where you see itTime reports

  • Payable and awaiting time

Counted time plus approved entries, kept apart from entries that still wait for a decision, for every day of the period.

    Where you see itTimesheet

  • Overtime by week

Overtime weeks go through the same approval queue as timesheets, so what is paid is what a manager agreed to.

    Where you see itTime approvals

  • Cost of the hours

Approved hours times each person's cost rate, per project and month. Hours without a rate are flagged instead of counted as zero.

Questions about time tracking

Why track time in Akollo instead of Harvest, Toggl or Clockify?

Those are good time trackers. The difference is that Akollo keeps the hours next to the projects, the people plan and the budgets, so nobody copies time from one tool to another to see what a project cost or who is overbooked.

Does the desktop agent take screenshots?

Only if your recording policy turns them on, every 5 to 30 minutes. Each person sees on My data what is collected about them, who opened their evidence and why, and how long it is kept.

Desktop agent
Can a manager change the hours someone recorded?

Not quietly. A correction is proposed with a reason and approved by a second person. The measured record stays as it was, and reports show the corrected and the original figures side by side.

Which computers does the desktop agent run on?

Windows and macOS. It sits in the system tray, and an optional extension for Chrome and Edge tells it which browser tab is in front. The extension only talks to the agent on the same computer.

Can we export the hours for payroll or invoicing?

Yes. Time reports export as CSV or Excel, and every download checks the person's scope again. Approved and locked periods do not change; late data shows up as a separate difference.
